International Travel Assistance Services

There are various travel procedures, risks, and issues unique to international travel. If you are planning a trip that will take you beyond the borders of the United States, visit Lehigh's International Travel Website or contact the Study Abroad Office for assistance. For additional travel information pertaining to Lehigh's travel policies, refer to the Lehigh University Travel Policy and Procedures Handbook or obtain a copy by calling the Purchasing Department at 610-758-3840.

Note: If you will be traveling to a country that is on the U.S. State Department Warning List, contact Lehigh's Risk Management Office to determine if the necessary liability insurance coverages are in place to protect you and the University.

International Travel Assistance Services

Lehigh University has purchased a Travel Services Assistance Plan for faculty, staff, and students who are traveling on University business and on University-sponsored programs.

This emergency travel assistance program coordinates with your medical coverage to provide seamless protection and numerous other services abroad. The program provides services that can track down an English-speaking cardiologist in Malaysia if you need one. Or, if you are the victim of a car accident abroad, it can arrange to evacuate you from a Russian clinic to the nearest hospital that can properly treat your medical condition.

Travel services are provided by ACE-Executive Assistance (Worldwide Assistance Services, Inc.). Covered members have access to ACE-Executive Assistance (Worldwide Assistance Services, Inc.)’s customer service center 24 hours a day, 365 days a year – from anywhere in the world when traveling at least 100 miles from home.

What Type of Services Are Available?

  • Pre-Departure Services - Pre-departure services can provide travelers with valuable information to prepare them for a trip. Information on immunization requirements, appropriate medical exams and treatment, passport and visa requirements, weather updates, and travel warnings are readily available.
  • Travel Medical Emergency Services - This 24-hour service is reason enough for a traveler to take advantage of Travel Assistance. Travel Medical Emergency Services can:

    - help a traveler obtain local medical care

    - maintain contact between local and personal physicians

    - provide medical records to local physicians

    - maintain daily contact between patient, family, employer, and physician

    - monitor the quality and cost of hospital treatment

    - confirm insurance coverage

    - guarantee payment to the medical care provider using the traveler's or University's financial resources

    - arrange shipment of prescription drugs, medical equipment, and prescription lenses

Medical Evacuation and Repatriation

  • Evacuation - If a traveler becomes injured or seriously ill and needs to be evacuated to an appropriate medical treatment facility, ACE-Executive Assistance (Worldwide Assistance Services, Inc.) can coordinate this for you.
  • Repatriation - If a traveler dies while traveling, ACE-Executive Assistance (Worldwide Assistance Services, Inc.) can coordinate the return of his/her remains to their home.

Emergency Travel Assistance*

Losing tickets while traveling can be extremely inconvenient.

  • provide 24 hour airline ticket replacement
  • arrange payment for a new ticket
  • arrange delivery of ticket by the quickest means possible
  • find the traveler a place to stay if hotel reservations are lost

Travel Emergency Legal Assistance*

Being caught up in another country’s legal system can be bewildering, even if it’s because of a simple traffic violation. ACE-Executive Assistance (Worldwide Assistance Services, Inc.) is here to help you in the following ways:`

  • arranging for the traveler to obtain needed help from local attorneys, embassies, and consulates
  • arranging bail, cash advances, or guarantee of payment for legal services from available financial resources of the traveler or the University
  • serving as a central communication point for the traveler, family, and employer until counsel is retained

Emergency Message Service

Communication during an emergency can be close to impossible when traveling in a foreign country. This valuable service can provide:

  • 24 hour toll-free telephone and message service
  • messages can be stored for up to 72 hours

Insurance Coordination*

Verifying insurance and completing claims forms can be difficult in a foreign country. ACE-Executive Assistance (Worldwide Assistance Services, Inc.) can help the traveler:

  • fill out all insurance forms for medical expenses, baggage lost, flight delay, car rental damage, etc.
  • verify insurance coverage
  • guarantee payment to a medical provider based on the confirmation of insurance coverage or traveler's credit card
  • coordinate with a medical provider to ease claim filing when back home
  • notify the insurance company of claims

Emergency Cash*

Knowing that emergency cash is always available is a great comfort to travelers, whether at home or abroad. In coordination with the traveler's finances ACE-Executive Assistance (Worldwide Assistance Services, Inc.) can provide cash through hotels, banks, consulates, and Western Union.

Lost Baggage/Passport Service*

Losing important baggage or documents is extremely inconvenient. ACE-Executive Assistance (Worldwide Assistance Services, Inc.) can:

  • provide advice on how to find lost luggage or replace it
  • contact the airline
  • arrange for items to be shipped from home
  • help to replace a passport

General Assistance*

ACE-Executive Assistance (Worldwide Assistance Services, Inc.) is prepared to handle almost any dilemma. General Assistance serves as a:

  • center to communicate emergencies
  • main resource for translations if you need help in an emergency situation
  • point of contact with consulates and government agencies
* These services may involve third party expenses which are the responsibility of the covered member or the University.

To access these services while you are traveling you should print out and carry the ACE-Executive Assistance (Worldwide Assistance Services, Inc.) Card. The page on which this card appears contains the telephone numbers and the Policy Number that you will need to give the operator when you call for assistance.

Driving Outside of the U.S.

Traveling by car may be far less safe abroad than in the U.S. and there may be far higher accident rates. See the Web site for the Association for Safe International Road Travel for more information: http://www.asirt.org/.

Lehigh University does not provide automobile coverage for the operation of motor vehicles outside of the United States. Insurance coverage must be purchased in the country where the vehicle is rented. For more information on policies and procedures regarding the use of Lehigh vehicles when traveling on University business, click on www.lehigh.edu/~intransp.

Note: If you will be operating or renting a vehicle for longer than sixty (60) days anywhere outside of the United States, you must notify the Risk Management Office (x83899) to ensure that proper general liability endorsements are added to the University's insurance policies.

In general, your personal U.S. auto insurance does not cover you abroad, but it may cover you in Canada and Mexico. Check with your automobile insurance agency. Even if your policy is valid, it may not meet the country's minimum requirements. If you are under-insured for a country, auto insurance usually can be purchased abroad.
