Guidelines for Use of Rauch Business Center

The College of Business & Economics (CBE) welcomes inquiries regarding the rental of rooms in the Rauch Business Center , especially in the Clayton Conference Center wing, for appropriate educational activities and events.

The department, center and student groups of the College of Business and Economics conduct an extensive roster of activities and events throughout the year. The College's first priority is to maximize the availability of Rauch Business Center facilities for CBE use. Scheduling will be done accordingly.

Conference and meeting rooms are available and scheduled through the Dean's Office .

7:30 A.M. to 10:00 P.M. Monday to Friday
8:00 A.M. to 5:00 P.M. Saturday
Closed Sunday

  NOTE: Classrooms are scheduled by the Office of the Registrar

RENTAL POLICY

The financial responsibility for maintaining Rauch Business Center conference facilities and equipment rests with the College of Business and Economics. No University budget has been provided for this purpose. To insure that the quality of these facilities is maintained over the long term, it is necessary to charge appropriate fees. Organizations will be charged according to the following policy:

1. CBE Organizations

•  Full rental charges when collecting greater-than-nominal fees for programs (unless the charges are waived by the Dean of the College or a representative).
•  No rental charges when collecting nominal fees or no fees for programs.

2. Lehigh University Organizations outside of the CBE

•  Full rental charges when collecting greater-than-nominal fees for programs.
•  25% of full rental charges when collecting nominal fees or no fees for programs.
•  No fees will be charged for Lehigh University administrative meetings and/or non-fee educational activities.

3. Organizations outside of Lehigh University

•  Full rental charges .

ACCESS

Building: Coordinate all arrangements for unlocking and securing the building for events scheduled outside normal business hours of operation through the Office of Access Control ( email inlock ) with copies to the Campus Police ( email inlpd ). Provide precise dates and times.

Rooms: Classrooms (including Perella Auditorium) are unlocked during regular hours.
The Dean's Office issues keys for the Clayton Conference Center area (Rooms 85, 91, 291, 292, 293). Upon completion of event, all doors should be locked and keys returned to the Dean's Office (Hours: 8:15 a.m. – 4:45 p.m., Monday thru Friday).

Non-CBE organizations requesting equipment other than that listed above should contact Media/Instructional Services (83059).


FACILITIES SERVICES WORK ORDERS

Arrangements for set up and restoring all furniture to status quo must be submitted in writing (via e-mail fswork ) to Facilities Services, 461 Webster Street and must include the following:

•  Requestor name, department, phone number
•  Account number to charge for the work
•  Building and area/room number
•  Detailed description of required set-up (include times and dates for set-up and returning to status quo, and extra janitorial service)

If you are using the lobby areas for receptions, buffets, etc., Facilities Services requires a work order to supply and deliver additional tables.


FOOD SERVICE POLICY

For food and beverage service provided by Lehigh University Food Services call 84512 or fax 758-4989. All meals should be served only in rooms 291/292/293. All remaining Clayton Conference Center rooms/areas accommodate coffee, tea, sodas, and snacks, but NOT full meals. Set up is allowable inside or outside conference center rooms and must be cleaned following the event (and between sessions of multi-day events).


ADVERTISING

On the day of the event, signs may be posted on an easel inside the front lobby away from any pathway. Signs may also be posted at building entrances on the side panel windows. Do not tape signs to walls . All signs must be removed upon completion of the event.
