What to do when you LOSE a key or a card

It is vital that you report all lost keys or ID/Access Cards PROMPTLY.
DON'T WAIT to "see if it turns up". It just might - in the wrong hands!
You will be given a period of time for the key to turn up once you report it,
before any billing would be incurred, so there is no reason to wait.

The card can be De-Activated for 24 hours to protect you at no expense. However, once a replacement card is obtained, the monies and priveleges associated with the lost card are transferred to the new card and the old can no longer be Re-Activated.

The Office of Access Control and Locksmithing does NOT accept payments or have anything to do with billing directly. Any necessary billing will be sent to Residential Services for processing once the grace period to find the key(s) has expired. It will then be billed on your Bursar account.

If you wish to pay the charge ( to "prevent the bill going home" ), stop by the Bursar's office about two weeks after the loss was reported. You should be aware, however, that while most parents feel losing the key or card is careless, they consider it irresponsible NOT to report it, especially if things start turning up missing - or strangers show up in your room! They would usually rather pay the small bill than take the risks that accompany not reporting it.

  • To report loss of a key or card during regular business hours, Monday through Friday ( Holidays excluded ), the best way is to stop by the Office of Access Control and Locksmithing. ( Click HERE for location ) You will be given a replacement key ( or keys ) immediately, and your old ID/access card ( if it was lost or stolen ) can also be cancelled and replaced immediately.

  • After hours or on weekends, a lost or stolen ID/access card should be reported to Campus Police, ( 758-4200 ) who can notify the Access Control Technician on duty to cancel the card remotely from his home or wherever he happens to be. You will still have to "buddy up" with your roommate or someone from the building to get into your building until the next business day, but at least you can rest assured that the card cannot be used by anyone else for building access once he is able to cancel it. Be sure to give the police dispatcher your Social Security number and the building and room in which you reside, as well as the phone number in the room and your name. The technician will need these to be certain the appropriate card gets cancelled.

  • After hours or on weekends, a stolen room key or a room key which is lost with ID stating where the key goes should be reported to Campus Police, ( 758-4200 ) who can notify the Access Control Technician. The technician can return to campus, change the lock and issue replacement keys for you and any roommates. There is an overtime charge for this if the key was stolen due to negligence ( a key left in a purse, backpack or jacket unattended, for example ) but not if it was stolen by force, etc. ( Whether to bill you is a Residence Halls decision, which you can contest if you disagree with it - the technician has nothing to do with the billing. )


    What to do when you FIND a key or a card.

    It is vital that you report all found keys or Access Cards PROMPTLY.

    DON'T WAIT to "see if the owner turns up". If you return them to The Office of Access Control and Locksmithing, all Residence Hall and Sorority ( as well as most fraternity keys ) can be identified almost immediately and their proper owner notified. (Academic area keys take a little longer to identify, but MOST can be tracked within a day or so.)

    More importantly, you may be saving the proper owner of the key or card a lot of worry or even some expense. When they report it missing, they will be given a period of time for the key(s) to turn up, before any billing would be incurred. But if you are holding the key, you may hold it past that time period, causing them to be un-necessarily billed for the replacement or re-keying costs!

    To report it, phone 758-6175 ( usually answered with voice mail - give your name, phone number and the number(s) of the key(s) or card(s) you found ) and at your earliest convenience drop the card or key off at The Office of Access Control and Locksmithing. (Click HERE for location ) For after hours use there is a Key Drop drawer located next to the entrance door. Make certain the items you insert have dropped fully, and be careful of your knuckles. Tolerances in the drawer are quite tight.

    Once you report it, the paperwork will be held temporarily to extend the time before billing occurs. If the key or card is not returned to the office within 72 hours, however, the paperwork will be returned to the billing stack. So it is important that you get the key or card back to the Office. If you cannot, contact the above phone number and ask to make arrangements for the key or card to be picked up by a technician during the business day.
